1. Service Description
ReceiptGuard is a B2B SaaS platform that provides AI-powered receipt analysis and fraud detection services for accounting professionals and businesses. Our services include:
- Automated receipt processing and analysis
- AI-powered fraud detection and risk assessment
- Integration with accounting platforms including QuickBooks
- Client management and receipt sharing capabilities
- External API access for third-party integrations
2. Account Registration and Organization Access
To use ReceiptGuard, you must create an account and be associated with an organization. You agree to:
- Provide accurate, current, and complete information during registration
- Maintain the security of your account credentials
- Accept responsibility for all activities under your account
- Notify us immediately of any unauthorized access or security breaches
- Ensure that only authorized users within your organization access the platform
3. Subscription Plans and Payment
ReceiptGuard offers multiple subscription tiers with varying features and receipt processing limits. By subscribing to our service:
- You agree to pay all fees associated with your selected plan
- Subscriptions automatically renew unless cancelled before the renewal date
- Payment processing is handled securely through Stripe
- Prices are subject to change with 30 days notice to existing subscribers
- No refunds are provided for partial months or unused receipt processing credits
- Receipt processing limits reset at the beginning of each billing cycle
4. Data Processing and AI Analysis
When you upload receipts to ReceiptGuard, our platform processes these documents using AI-powered analysis. You acknowledge that:
- Receipt data is processed using third-party OCR services (Veryfi and Taggun)
- AI analysis provides fraud risk assessments but does not constitute financial or legal advice
- You remain responsible for verifying all receipt information and fraud determinations
- Our fraud detection system identifies potential risks but may produce false positives or negatives
- All data processing complies with applicable data protection regulations including GDPR
5. Third-Party Integrations
ReceiptGuard integrates with external accounting platforms and services. When using these integrations:
- You must comply with the terms of service of all integrated platforms
- You are responsible for maintaining valid credentials and API access
- We are not liable for issues arising from third-party platform changes or downtime
- Integration settings and OAuth tokens are securely stored but you control authorization
- Slack and QuickBooks integrations are provided as-is
6. API Access and External Integrations
Organizations with API access must:
- Keep API keys secure and confidential
- Comply with rate limits and usage restrictions
- Not attempt to reverse engineer or misuse our API
- Accept responsibility for all requests made using their API keys
- Report any suspected security vulnerabilities responsibly
7. Data Ownership and Privacy
You retain all ownership rights to the receipt data you upload. We commit to:
- Process your data only as necessary to provide our services
- Implement appropriate security measures to protect your data
- Not sell, rent, or share your data with third parties for marketing purposes
- Maintain strict organization-level data isolation
- Comply with GDPR and other applicable data protection regulations
- Provide data export capabilities upon request

8. Acceptable Use
You agree not to:
- Use the service for any illegal purposes or to violate any laws

- Scrape, harvest, or collect data from the platform without permission
- Resell or redistribute our services without authorization
- Upload copyrighted material without proper rights or authorization
9. Service Availability and Limitations
While we strive for high availability, we do not guarantee uninterrupted service. We reserve the right to:
- Perform scheduled maintenance with reasonable notice
- Temporarily suspend service for emergency maintenance
- Modify or discontinue features with 30 days notice
- Impose usage limits based on your subscription tier
10. Limitation of Liability
To the maximum extent permitted by law:
- ReceiptGuard is provided "as is" without warranties of any kind
- We are not liable for any indirect, incidental, or consequential damages
- Our total liability is limited to the amount paid in the 12 months preceding any claim
- We are not responsible for errors in AI fraud detection or OCR processing
- You are solely responsible for business decisions made based on our analysis
11. Termination
Either party may terminate this agreement:
- You may cancel your subscription at any time from your account settings
- We may suspend or terminate accounts that violate these terms
- Upon termination, you will lose access to all data within 30 days
- We recommend exporting all data before cancelling your subscription
- Outstanding fees remain due after termination
12. Changes to Terms
We may modify these Terms of Service from time to time. When we make material changes:
- We will notify you via email at least 30 days before changes take effect
- Continued use of the service after changes constitutes acceptance
- If you disagree with changes, you may terminate your subscription
13. Governing Law
These terms are governed by the laws of the Netherlands. Any disputes shall be resolved in the courts of Amsterdam, Netherlands.
